Introduction.

Hi, I’m Noah from Maven X. In this video we’ll see how Maven X uses automation to automate the monthly site reports for our Maven Web clients, ensuring they receive timely and detailed reports about their website’s performance and security.

This is part of our business automation series, where we showcase how automation has helped Maven X streamline operations, drive growth, and ensure precision. Problem Statement.

One common downfall with web design agencies is that once they design your website, you never hear from them again. You don’t know if your website is still working, if it’s performing, how much traffic it receives, if it is kept secure and updated, and more. For Maven X, this challenge revolves around managing this regular client communications on website reports. Manually preparing and sending detailed reports can be time-consuming and error-prone, especially with a large client base.

That’s why we created our Monthly Maven Web Client Site Reports automation. This solution ensures that each Maven Web client receives an accurate and comprehensive report about their website’s status and performance knowing that Maven X is keeping on top of their website, even after the site has been completed.

Now let’s see how the automation works:

  1. Airtable Record Search: On the first of each month, the automation begins by searching an Airtable base for all active Maven Web client sites who have opted to receive these notifications.
    • A thing to note is that this automation is still somewhat manual, but made easier with this automation. Due to limitations in our current website management tool, there is no way to customize email templates. At Maven X we keep a consistent brand image to ensure that clients know when emails come from us. As such, our tool sends us the email directly for now.
  2. Create Email Draft: For each eligible site, the automation drafts an email in our email service. The email includes the monthly report, detailing various aspects such as site overview, analytics, performance, uptime, security checks, and any custom work completed. For now, we have to manually drag and drop each report into the generated email to send it out. However, we hope that in the future this can be completely streamlined and automated!
  3. Include Opt-Out Option: Each email includes a link for clients to update their email preferences, allowing them to opt-out if desired.
